Check Call Procedure

  1. Today’s Pickups

    1. Current location / Distance from first pickup / Arrival ETA / Fuel card activated – in TCH

    2. Set reminders to call to confirm rolling time and arrival ETA to pickup

       

  2. Truck in route for today’s deliveries

    1. Set a reminder for 1 hour before the appointment time to confirm the driver is awake and will be checking in on time.

    2. Set reminder for the appointment time scheduled to make sure he/she is checked in on time.

    3. Set a reminder for 2 hours after check-in to see if they have received a door.

    4. Once in a door, set a reminder for 3 hours to see if they are empty.

       

  3. Truck’s in route for deliveries, etc.

    1. Current location / Distance from delivery / Reefer Temps / Fuel card updated adding current load number.

    2. If any trucks are still loading, set a reminder to follow up and notify Customer service of any delays.

    3. If your truck is rolling, call and confirm delivery. Make sure to note it with detail in the load. If the truck is running on-time, set a reminder for 4 hours to check on the truck again. Then, extend your reminder to check on the truck one last time before leaving for the day.

    4. If your truck is not rolling and has been stopped for less than 8 hours, make a check call and set a reminder for 3 hours to see if the truck is rolling and confirm delivery. Extend your reminder to check on the truck one last time before leaving for the day.

** If by 3pm you are still unable to reach your driver to confirm an on time delivery, you must notify your planners.

DELAYS:

 

If you have a truck that is running behind for delivery for ANY reason, you must notify your planner and customer service immediately. (Example: Driver related, bad weather, traffic or breakdown). Enter this information in the “STOP TAB” for customer service it stays forever in the system.  The “Call In’s” drop off after a while.
