Email Format To Customer

Vendor/Shipper Communication:

Always be courteous, they are serving the same customers we are loading product for. They have the power to hold our trucks up, and not give us accurate information. Always be friendly when speaking or emailing.

​

Email:

Rather scheduling an appointment, or trying to confirm an order, always note in Subject line

​

Example:

Subject line: Customer name Customer PO# Vendors PU# and reason Loading appointment or dispatch information

If inquiring in regards to more than 1 order, be specific in your email

​

Example:

                Good afternoon,

​

Please schedule loading window for the following orders loading on Separate trucks

​

1st-PO#168#####-PU#OR0#####...Watsonville 7-9pm

​

2nd-PO#168#####-PU#OR0#####...Salinas 5-7pm

​

When emailing to make sure you have confirmed your location of pickup always remembers vendors are human too they sometimes enter wrong pick up’s#. To be sure we are loading the correct order always include the customer PO# with PU#.

 

Customer Communication:

Please be kind and courteous. Be sure you have exhausted all your resources before we contact them. Be sure you have gathered all your information and names to provide all information to customer so they can just get what you are requesting done.

​

Good afternoon,

Truck arrived to Bolthouse for 8pm loading appointment. Truck is currently waiting for 20 boxes of Baby carrots per Nancy in shipping. Please could you assist with getting this truck loaded?
